Position Summary:

The Marketing Events Logistics Coordinator, Marketing Communications Team, will support a fast-growing Marketing Events team and work to provide support to marketing events. The Marketing Events Logistics Coordinator will report to the Marketing Events Manager and partner with the Marketing Events team to deliver world-class virtual and in-person experiences by governing workflow, preparing and implementing support materials for small-scale and large-scale events.

The ideal candidate is a proactive leader who will manage expectations, work cross-functionally within the marketing team as well as other departments, and ensure that materials are completed and delivered on time, both on budget and on brand. Most importantly, this individual should be flexible with the ability to adapt plans while remaining solution focused with a keen eye to detail and customer focus.  

This key role will partner with events team members and within and outside of the departmental through a variety of administrative and customer-focused services and will oversee timely delivery of items for internal and external events.

With more than 1,700 dental offices supported across 38 states and the District of Columbia, over 20,000 team members and more than 2,800 supported doctors in our support, Heartland Dental has a proven track record of growth and success. Key Responsibilities:

  • Maintain ongoing calendar of events and logistics timelines for the team, communicating updates weekly
  • Support getting materials shipped to trade shows, conferences, marketing events, and internal incentive programs
  • Maintain and adhere to clear timelines, sending reminders to event owners, as needed
  • Partner with Events team program owners to ensure alignment with short-term and long-term needs, including but not limited to rosters, material needs sheets, and timelines
  • Track material preparation progress and maintain digital folder of deliverables and deadlines
  • Prepare and organize event materials efficiently and accurately so others onsite are easily able to know what is included and how it is used
  • Be aware of costs by strategically planning delivery of material shipments with the goal of optimizing savings wherever possible
  • Build and maintain working relationships with internal partners and outside vendors
  • Provide assistance as needed for Support Office events
  • Assume special projects as assigned

Minimum Requirements:

  • Hybrid work schedule after training period that WFH will be dependent upon event needs.
  • 2+ years in a customer service mindset.
  • Strong organizational skills, accuracy, and attention to detail
  • Strong verbal and written communication skills
  • Ability to interact with others in a collegial manner to accomplish common tasks
  • Must be thorough, detail oriented, and have a customer focus with a servant leader mindset
  • Weekend/evening work may be needed on rare occasion, depending on event needs
  • Proficiency with Microsoft Office suite (PowerPoint, Excel, Outlook, Word)
